Northcote Swim Club is an Incorporated Association under Victorian law, under the auspice of Swimming Australian and Swimming Victoria.
Committee Background
The club committee exists to provide administrative and social support to the swimmers and consist of parents who volunteer their time.
The committee assists with all aspects of the club administration including welcoming new members, processing club competition entries, reporting results, sourcing club uniform, registration of swimmers with Swimming Victoria, collection of payment for annual membership, representing the club at Metro North and Swimming Victoria meetings when required, and general club operations such as equipment.
All positions are declared vacant at the AGM and committee members are appointed at the start of the membership year.
To be eligible to nominate for any positions on the committee, you must be 18 years or over, be a financial member of the club and must be registered with Swimming Victoria.
Existing committee members can also re-nominate for their positions if they so desire.
The committee meets once a month during the swimming year but this can alter if circumstances require extra meetings (e.g. organising major fund raising events or club championships).

Committee Charter
Role and Responsibility
Committee Members must act with integrity, honesty, transparency, and accountability while maintaining their fiduciary responsibilities. The Committee’s role includes:
- Planning for the future.
- Undertaking succession planning for the Committee.
- Balancing and developing the skills within the Committee.
- Providing leadership for all those in the Club.
- Promoting and developing the highest standard of sport possible.
- Submitting annual reports, quarterly financial statements, and recommending changes in by-laws and rules to a higher governing body for approval.
- Seeking and managing appropriate sponsorship for the Club.
- Actively developing technical officials and administrators by setting and maintaining quality standards.
- Setting budgets and being diligent and accountable for the funds.
- Understanding the issues, priorities, and needs of parents, swimmers, volunteers, and administrators.
- Making decisions about what is most important, and employing the best resources to acquire the necessary knowledge.
- From time to time, making decisions for the conduct of its own proceedings, control of funds and property, and efficient management of administration, in accordance with the Constitution.
Transparency and Responsibilities to Members
As a member-based Club, the Committee must work transparently. To achieve this, the Committee will:
- Seek input and feedback from members regarding actions and performance.
- Disclose all actual, potential, or perceived conflicts of interest.
- Agree to, publish, and use both a Committee Charter and a Code of Conduct.
- Establish delegations related to expenditure, including how much can be withdrawn from Club funds without Committee approval, and other ways individual members may represent the Committee as a whole.
- Set clear meeting attendance expectations.
